Clinic Pulse PTE Sync — Privacy Policy
1. Overview & Single Purpose
This Privacy Policy outlines how the Clinic Pulse PTE Direct Sync Extension and the Clinic Pulse Analytics Application access, process, and safeguard information when you link your PT Everywhere electronic health records (EHR) portal with your private Clinic Pulse dashboard.
The extension functions strictly on-demand: it executes actions only when an authenticated clinic user explicitly clicks "Start 1-Click Sync" from the browser extension popup or dashboard interface.
2. Categories of Data Processed
In accordance with Google Chrome Web Store Developer Privacy Policies, we disclose the specific categories of data processed by the extension:
Payment Collections Reports
Payment transaction amounts, collection dates, and payment methods extracted from PT Everywhere payment reports to calculate practice revenue totals and key performance indicators.
EHR Report Exports
Tabular spreadsheet exports (.xlsx and .csv) generated inside the active PT Everywhere reporting portal at app.pteverywhere.com.
Provider & Visit Names
Practitioner names and patient/client names appearing in standard appointment visit rows and package balance ledgers to attribute completed visits to assigned therapists.
3. Data We Strictly Do NOT Collect
- No Authentication Credentials: We do not capture, record, or store your PT Everywhere username, password, or security credentials. Session authentication remains entirely between your browser and PT Everywhere.
- No Clinical Diagnostic Charts: We do not extract clinical SOAP notes, medical evaluations, diagnoses (ICD-10), or therapy treatment narratives.
- No Browsing History: The extension has no access to any websites outside of
app.pteverywhere.comand your paired Clinic Pulse application instance. - No Keystroke or Activity Tracking: We do not record keystrokes, mouse coordinates, IP geolocation coordinates, or personal messages.
4. Data Storage, Transmission & Zero-Footprint Processing
Zero-Footprint In-Memory Ingestion: Generated report files are streamed directly into memory buffers within the extension and immediately transmitted to your private Clinic Pulse instance over authenticated, TLS-encrypted (HTTPS) connections. Transient report files are purged immediately from local storage upon transmission.
Direct Encrypted Storage: Synced clinic analytics are persisted exclusively inside your dedicated Google Cloud Firestore database instance. No intermediary third-party servers, proxy relays, or advertising networks are ever utilized.
Extension Local Storage: The extension stores only non-sensitive configuration keys (your paired Clinic ID, clinic display name, and preferred reporting date range) in local browser storage (chrome.storage.local).
5. Chrome Web Store Policy Certifications
We formally certify that Clinic Pulse PTE Sync:
- Adheres strictly to Google's Single Purpose Policy by only performing PT Everywhere report synchronization for practice analytics.
- Never sells user data, patient records, or financial information to any third parties or brokers.
- Never transfers user data for purposes unrelated to the extension's core functionality.
- Never uses or transfers user data to determine creditworthiness or for lending purposes.
- Never displays third-party advertisements or monetizes data in any form.
6. Data Retention, Control & Deletion
You retain complete ownership and control over your practice data at all times:
- Unpairing: You can disconnect the extension at any time by clicking "Unpair Clinic" inside the extension popup or removing the extension from Chrome via
chrome://extensions. - Report Deletion: You can delete any synchronized snapshot or report directly from the Clinic Pulse dashboard at any time.
- Account Deletion: To request complete deletion of all clinic records and account data, email our privacy administrator at chris@continuaphysio.com. Requests are processed within 48 business hours.
